Sometimes people tell me: \u201cMy Outlook message preview is broken ,I only see a couple of tiny letters\u201d or \u201cThe preview lines look too small and useless.\u201d
Good news: most of the time, it\u2019s not a serious issue. It\u2019s just a few View settings fighting each other.<\/p>\n\n\n\n

<\/p>\n\n\n\n

This guide is for Classic Outlook for Windows (the one with the Ribbon tabs like File, Home, Send\/Receive, Folder, View).<\/p>\n\n\n\n

What is \u201cMessage Preview\u201d (and why it matters)?<\/strong><\/p>\n\n\n\n

In the Outlook inbox list, each email usually shows:<\/p>\n\n\n\n

Sender + subject<\/strong><\/p>\n\n\n\n

A short snippet of the email body underneath (that snippet is Message Preview)<\/p>\n\n\n\n

This is different from the Reading Pane, which opens the full email on the right side.<\/p>\n\n\n\n

When Message Preview is set too low (or when spacing settings are wrong), the preview can look like it\u2019s only showing a couple of small characters.<\/p>\n\n\n\n

My Recommended \u201cBest View\u201d Setup (Quick Fix)<\/strong><\/p>\n\n\n\n

Open Outlook and go to:<\/p>\n\n\n\n

1) Set the View to \u201cSingle\u201d<\/p>\n\n\n\n

Click the View tab<\/p>\n\n\n\n

Select Change View<\/p>\n\n\n\n

Choose Single<\/p>\n\n\n\n

This gives a clean layout that works well with message preview.<\/p>\n\n\n\n

2) Disable \u201cUse Tighter Spacing\u201d<\/strong><\/p>\n\n\n\n

Still in the View tab:<\/p>\n\n\n\n

Click Use Tighter Spacing so it is OFF<\/p>\n\n\n\n

Tighter spacing can make the message list look cramped and can reduce how readable the preview feels.<\/p>\n\n\n\n

3) Set Folder Pane to Normal<\/strong><\/p>\n\n\n\n

Go to:<\/p>\n\n\n\n

View tab \u2192 Folder Pane \u2192 Normal<\/p>\n\n\n\n

This keeps the left navigation clean and stable (especially for users who keep switching mailboxes\/folders).<\/p>\n\n\n\n

4) Set Reading Pane to the Right<\/strong><\/p>\n\n\n\n

Go to:<\/p>\n\n\n\n

View tab \u2192 Reading Pane \u2192 Right<\/p>\n\n\n\n

This is the layout most users prefer, and it pairs nicely with message preview.<\/p>\n\n\n\n

The Key Setting: Increase Message Preview Lines<\/p>\n\n\n\n

Now the most important part:<\/p>\n\n\n\n

In the View tab, find Message Preview<\/p>\n\n\n\n

Set it to:<\/p>\n\n\n\n

2 Lines (good), or<\/p>\n\n\n\n

3 Lines (best, if your Outlook shows it)<\/p>\n\n\n\n

If you only see Off \/ 1 Line \/ 2 Lines, choose 2 Lines. Some Outlook versions show 3 Lines further down.<\/p>\n\n\n\n

Why I like 3 lines: it\u2019s the sweet spot \u2014 users can understand the email quickly without even opening it.<\/p>\n\n\n\n

If It Still Doesn\u2019t Change (Common Reasons + Fixes)<\/strong>
A) Reset the View (fast and safe)<\/p>\n\n\n\n

Sometimes the view is stuck or customized too much.<\/p>\n\n\n\n

View tab \u2192 Reset View<\/p>\n\n\n\n

After resetting, repeat the steps above (Single view, tighter spacing off, message preview 2\u20133 lines).<\/p>\n\n\n\n

B) Outlook Views are \u201cPer Folder\u201d<\/p>\n\n\n\n

This one catches people out: Outlook doesn\u2019t always apply the same view to every folder automatically.<\/p>\n\n\n\n

So if it looks fixed in Inbox but not in Sent Items, you didn\u2019t do anything wrong \u2014 it\u2019s just Outlook being Outlook.<\/p>\n\n\n\n

Tip: Once you set the view the way you like, you can apply it across folders:<\/strong><\/p>\n\n\n\n

View tab \u2192 Change View \u2192 Apply Current View to Other Mail Folders (wording can vary slightly)<\/p>\n\n\n\n

C) Last Resort (for stubborn\/corrupted views): Clean Views<\/strong><\/p>\n\n\n\n

If someone has a completely messed-up message list and nothing responds, you can reset all custom views.<\/p>\n\n\n\n

Close Outlook<\/p>\n\n\n\n

Press Windows + R<\/p>\n\n\n\n

Type:
outlook.exe \/cleanviews<\/p>\n\n\n\n

Press Enter<\/p>\n\n\n\n

This resets the views back to default. (After that, re-apply the recommended settings.)<\/p>\n\n\n\n

Final Checklist (My Go-To Setup)<\/p>\n\n\n\n

If you want the \u201cbest result\u201d view, this is the exact combo I use:<\/p>\n\n\n\n

Change View: Single<\/p>\n\n\n\n

Use Tighter Spacing: OFF<\/p>\n\n\n\n

Folder Pane: Normal<\/p>\n\n\n\n

Reading Pane: Right<\/p>\n\n\n\n

Message Preview: 2 Lines or 3 Lines<\/p>\n\n\n\n

Wrap-up<\/strong><\/p>\n\n\n\n
